Checklist for hospital buyers

As a hospital pharmacist, you know how frustrating it can be when an essential medicine is out of stock. At Orphamed, we receive daily requests for unavailable medications. One thing is clear: the more complete and structured the request, the faster we can act. That’s why we are sharing a practical checklist below, to help you get the most out of your request and accelerate the process together.

What should always be included in your request?

A strong request starts with the basics. Make sure to include the following information:

  • Exact product name (as registered)
  • Dosage form (e.g. tablet, injection, infusion)
  • Strength (e.g. 500 mg, 20 mg/ml)
  • Quantity or number of packs

With this data, we can carry out a targeted search across our European supplier network. The more precise your request, the less time is lost in back-and-forth communication.

Indicate the urgency of the shortage

Not every shortage is equally urgent. Please indicate whether the request is time-critical. A simple note such as “urgent – ongoing patient treatment” or “non-urgent – restocking” helps us prioritize and focus our efforts where it matters most. In life-threatening cases, we can sometimes deliver within 24 to 48 hours, if we receive the right details in time.
